CONCESSION COORDINATOR

General Job Description:

Under the direction and supervision of the Producer of Deep Freeze Festival, the Concessio oordinato is
responsible for overseeing the snack & beverage areas at the Festival liaising with the food coordinator, site
coordinator and volunteer coordinator as needed. Tasks include picking up needed supplies and equipment,
setting up serving areas, training and overseeing volunteers, cleaning up areas and returning items. Must be
available during the entire Festival (January 13-14, 2018) and the week leading up to as well as sporadic
hours in December and early January.

Specific Duties and Responsibilities:

o Overseeing: beverage area, snack table, little concession.
o Order, pick up & return snow cone machine and supplies from ABC Rentals.
o Order, pick up & return popcorn machine from ATB Financial (for volunteer room).
o Order and pick up popcorn supplies from King Cinema.
o Arrange for pop delivery from Pepsi or Coca-cola.
o Provide volunteers with orientation and training regarding their area.
o Arrange for coffee & hot chocolate donation from Tim Hortons & volunteers for pick up.
o Order & pick up ice from McDonald’s.
o Purchase/pick up of food & supplies (donuts, chips, wieners, hot dog buns, condiments,
marshmallows, buns for pork, coffee cups, cream).
o Work with the food coordinator for the Village Pig Roast.
o Work with site coordinator to set up snack and beverage areas.
o Monitor snack & beverage areas and assist volunteers as needed during festival.
o Take inventory of leftover items & supplies and make arrangements for storage or returns.
o Return empty bottles for refund on Monday after festival.
o Other job related duties as required

Qualifications:

o Experience with event production and/or food & beverage service an asset
o Detail-oriented team worker who is able to work independently
o Good organizational and communication skills
o Team Player who is able to lead volunteers
o Must have a car

VOLUNTEER AND PERFORMER CARE COORDINATOR

General Job Description:

Reporting to the Festival Producer and Artistic Director, the Volunteer & Performer Care Coordinator is
responsible for organizing the Volunteer Recruitment Events, prior to the Deep Freeze Winter Festival,
oversight of the Volunteer Lounge, volunteer food and refreshments during the festival which runs January
13 & 14, 2018. This position is also responsible for the Performer Lounge, maintaining snacks and
refreshments for performers both days as well as ensuring both areas a clean and tidy. The Production Team
meets each Monday from November through January, and this position would be expected to attend.

Specific Duties and Responsibilities:

o Organizing the 3 Volunteer Recruitment dinners, including entertainment, games & prizes
o Creating and executing volunteer training
o Set up, management, and strike of the Volunteer Centre
o Ensuring that both the Volunteer & Performer Lounges are kept clean and tidy throughout the
weekend.
o Ensuring Volunteers & Performers have adequate food and refreshments available at all times
o Organization of the volunteer appreciation dinner, including entertainment, games & prizes
o Maintaining effective communication with and oversight of your volunteers
o Administrative and office duties as per required
o Preparation and delivery of a final report
o Other job related duties as required

o Ability to build effective relationships within the arts communities
o Detail-oriented team worker who is able to work independently
o Great communication and problem solving skills

INSTALLATIONS/LAMPPOST CONTEST COORDINATOR

General Job Description:

Under the direction and supervision of the Festival Producer, the Installations/Lamppost Coordinator is
responsible for the recruitment of textile artists to participate in the Deep Freeze Lamppost Installation
Challenge in addition to the development and execution of other installation spaces for artwork. Participants
will design, create and install their installations on designated lampposts around the Deep Freeze Festival
site. This is a part-time, contract position, with hours increasing leading up to the festival. Some work outside
of normal business hours and on evenings and weekends will be required.

Specific Duties and Responsibilities:

o Oversee the preparation, design, development and implementation of the Lamppost Yarn Bomb
Contest.
o Outline requirements for entries, supervise installation, coordinate awards, and clean-up.
o Respond to queries raised by contestants.
o Coordinate on-site logistics, including training and supervising volunteers
o Attend meetings with the Deep Freeze production team to plan and further festival development.
o Be on festival site January 13-14, 2018
o Other job related duties as required

o Experience with working and coordinating volunteers.

KID'S AREA COORDINATOR

General Job Description:

o Reporting to the Festival Producer and Artistic Director, the Kids World & Outdoor Recreation
Coordinator is responsible for the outdoor events at Kidsworld and on the nearby street at Deep Freeze:
A Byzantine Winter Festival running January 13 & 14th, 2018. 
o Ensure all the needed equipment is accessible or appropriately placed (e.g. signage,
bails, heaters, curling cans/brooms, crazy carpets, other game items).
o Meet volunteers at 11:30, 2:15 and 4:45 in volunteer room. Bring them to the
compound, direct them to location and set-up of their area and game instructions/rules.
o Ensure they have your cell phone number to contact you regarding any issues or
needing relief.
o Make a regular circuit of the areas to monitor volunteers and watch for any issues. Bring
in evening shift volunteer at 4:45 pm for those areas staying open then make rounds
instructing volunteers on what areas to shut down and what to put away and where.
Give remaining volunteers instructions as to what to do at 8pm when they close down
their area. Make sure they have the site coordinators cell number. 

Specific Duties and Responsibilities:

o Overseeing volunteers before, during and after the festival
o Overseeing the safety of children and festival-goers in the area
o Coordinating the dismantle of the site
o Other job related duties as required

Qualifications:

o Experience with event production and logistics management.
o Ability to build effective relationships within the arts communities.
o Detail-oriented team worker who is able to work independently.
o Great communication and problem solving skills.
o Ability to coordinate and work with volunteers.

Compensation: Between $400-$500 depending on experience.
